The Finance Assistant is a key member of the Finance team, so we are looking for a hardworking and supportive team player who has a passion for our mission and for figures. The Finance Assistant joins War Child at an exciting time, as we are growing and will therefore be expected to make significant contributions to projects to ensure that the right changes are made line with the growth of our organisation.
The Finance Assistant is expected to support the UK Finance Adviser and Head of Finance in the continued development and implementation of War Child’s overriding financial management and reporting framework and financial policies. You will be supporting the UK Financial Adviser to ensure the completeness and accuracy of financial information in UK.
War Child is an international NGO that works with communities to ensure the protection of children affected by conflicts. The Finance Assistant will therefore be expected to have a working relationship with the teams in the countries we operate.
Your role
This role is central to the smooth operation of War Child’s day to day UK financial processing and reporting during a period of exceptional growth. It is expected to support the UK Finance Adviser and Head of Finance in the development and implementation of War Child’s financial policies, with a particular focus on UK headquarters.
Your responsibilities
o Processing of invoices from suppliers, ensuring that invoices are authorized in accordance with the Delegation of Authority policy and coded to the correct account and cost centre
o Processing payments to suppliers and staff expense claims, and answering queries from them
o Maintaining petty cash and reconciling petty cash to balances on PS Financials
o Preparation of sales invoices and recording them on PS Financials
o Liaising with fundraising team to ensure all income from all sources is correctly receipted, recorded, and allocated to source and intended use; with similar allocation of relevant expenditure
o Ensuring that all cash and cheques received are prepared for banking
o Ensuring that PS Financials nominal ledger is up to date and accurate for all payments made, including staff expenses, company credit cards, standing orders and direct debits
o Reconciliation of control accounts on monthly basis
o Providing assistance in the preparation for the annual audit
o Preparing and maintaining schedules for balance sheet accounts
o Ensuring that all personnel within the UK headquarters adhere to agreed organisational financial policies & procedures at all time
o Performing other financial duties as delegated by the UK Finance Adviser / Head of Finance
